JALT2024 Sponsor Letter from the EME Coordinator

WELCOME TO JALT2024!

We thank you very much for participating in the JALT2024 Educational Materials Exhibition (EME) at the Shizuoka Granship. Here are a few things to remember during your stay here:

Set Up Schedule:
Set up time starts on Friday, November 15 at 13:00 and finishes at 18:00.
If you use Watanabe Ryutsu, your boxes will be delivered directly to your booth(s).
Please have your boxes delivered Friday afternoon between 13:00-17:00 to the following address.

Please have a representative to receive your boxes.
Carts will be available to transport your boxes to your booth.

EME Hours of Operation: 

·       Saturday, November 16, 09:00-19:00  (Sponsors and JALT Committee members may enter from 8:30.)
·       Sunday, November 17, 09:00-15:30 (Sponsors and JALT Committee members may enter from 8:30.)
·       Monday, November 18: No EME

There will be WIFI in the EME area. Details will be provided on Friday, November 15.
All booths will be equipped with electricity.

Breakdown Schedule: Please DO NOT start breaking down your booth BEFORE 15:30.
Breakdown time starts on Sunday, November 17 at 15:30.  At 15:30, the packing up of the booths can begin.

If you are not planning to use Watanabe Ryutsu, please arrange for your own takkyubin or delivery company to collect your boxes at 16:30. All items should be collected by 18:00.
If you use Watanabe Ryutsu, a representative will meet with you at your booth(s) and take care of the pickup from there.

Storage space for your empty boxes:
There will be a storage area on the left side of the entrance to the EME. There will be pink-shirt interns to help you coordinate the storage of your boxes Friday afternoon and Saturday night.

Trash Zone:
This year, the conference is going to have a tiny corner of the EME called the “EME Trash Zone” next to the storage space on the left side of the entrance to the EME. It will be used to discard cardboard, paper, and plastic shipping materials only (no food waste or wet garbage).

Friday/Saturday Night Caution:
Please take any valuables with you Friday and Saturday nights. We will close the area to restrict public access during this time.

Charging / Refill areas:
We will continue to promote more traffic to the EME with water refill and device charging stations. We hope this will attract more people to your booth(s). The water stations are located between booths 1 and M and 19 and 20. If you feel these stations are hindering your staff from operating smoothly, please notify Katherine Song. The charging stations are at the back of the EME near the doors leading out to the food trucks.

Conference Badge Holders
Please remember EME-only badge holders are not permitted in the presentation areas of the conference. Anyone found wearing an EME-only badge will have that sponsor billed for a full conference badge on their conference invoice.
